Private Portfolio Booking Conditions

1.  Booking Contracts are effected in the name and on behalf of the owners at the prices listed in the price list attached on your information sheet. Prices were established according to the market conditions and exchange rates when printed. Should these market conditions suffer important changes, we reserve the right to modify our prices accordingly. Unless otherwise stated rental period is for a minimum of one week starting and ending on Saturday.

2.  A deposit of 33% of the total letting price plus a booking fee (when applicable) is payable at the time of confirmation and the balance is due no later than 8 weeks prior to arrival at the accommodation. The booking fee is non-refundable. Travel insurance is advised to protect you.

3.  For arrivals within eight weeks of booking, the full amount is due upon confirmation.

4.  The booking contract comes into effect when Houses for Hire is in receipt of the completed booking form, the booking fee and the full payment under clauses one and two, and when the client has received a written confirmation of the booking. All bookings are subject to confirmation by the owner.

5.  At least 15 days prior to the start of the letting period, and providing all payments have been received, the client will be sent directions to the house, a voucher that serves as entrance pass that must be shown to the keyholder on arrival. This will list the guest’s name, the number in the party and the extra costs not included in the booking contract, such as heating and firewood. The address, name of the keyholder, eventual telephone number, and precise directions to the rental property will be included.

6.  The client must arrive between 4:00 and 6:00pm. If the client is late, advance notice must be given. If no notice is given the keyholder is not held to wait for the clients after the arrival time has passed. It is up to the keyholder’s discretion to decide whether or not to allow clients to enter the house at times other than those stated. Houses for Hire declines responsibility in the matter.

7.  On arrival the client must pay a damages deposit required by the owner. Failure to do so can result in the keyholder refusing entrance. Please plan your ATM and banking visit accordingly.

8.  Only those persons stipulated in the booking form may stay at the house and the total number of such persons must not exceed the authorized number stated in the house description. Please note that this includes children. Should the keyholder find more persons than those stated, it is totally up to his discretion to ask the clients to vacate the house.

9.  The client signing the contract is responsible for the correct and decent behavior of his/her party. Should the client and party behave in a manner that is not acceptable by civilized standards, the keyholder may ask the client and his party to vacate the house. Please note that in Europe the conduct and safety of children under 18 is the direct responsibility of the parents and no legal recourse exists otherwise.

10.  Houses for Hire shall consider the Booking Contract null and void after notification by the keyholder of violations of clauses 6, 7, 8 and 9 hereof. No reimbursement will be paid.

11.  The client and his party must vacate the house between 8:00 and 10:00 am on the date of departure without exceptions.

12.  The cautionary deposit will be returned in full to the client at the end of the holiday period less any deductions made by the keyholder for damages caused to the house, its garden area, the internal and external furnishing (fair wear and tear excepted), heating costs and any extra expenses incurred during the holiday period and still outstanding at the date of departure.

13.  Cancellation charges will be levied as follows: Deposit is non-refundable. If cancellation is made within 60 days of the rental date, the full amount is charged. Cancellation between 60-90 days is charged at 50% of the total amount. The booking fee will not be refunded and all notices of cancellation must be in writing and will be calculated from the date of receipt by Houses for Hire. If the house is re-let the agent will refund the entire amount less 10%. For this reason we strongly advise Travel Cancellation Insurance.

14.  If as a result of events outside the owner’s control, the house booked should no longer be available, Houses for Hire will immediately notify the client and either reimburse the entire amount less the booking fee, or if so instructed, engage in search of alternate housing. The client will either be reimbursed or expected to pay the difference if the amount is higher in accordance with clauses 2 and 3.

15.  Houses for Hire cannot be held responsible for changes and modifications effected by the owner without notification to us, nor for the state of cleanliness, for the furnishings, fittings, and house equipment which are the owner’s direct responsibility. Any complaints should be made directly to the owner/keyholder upon note and to Houses for Hire (should problems not be settled), within 48 hours of arrival, and followed by written confirmation to the owner c/o Houses for Hire. We will forward all complaints to the owner and provide clients with the owner’s complete address. Complaints lodged at the end of the holiday period will not be taken into consideration. Clients who abandon the house without authorization of Houses for Hire lose all rights to claims and eventual refund or rebate.

16.  In the event of any dispute concerning the terms and conditions of this contract, the court of law in France will have jurisdiction. On signing the booking form the client totally and unconditionally accepts these booking terms.
